Allocate team members to projects
Overview
Creating allocations is how you assign team members to projects for specific dates. This section covers all the ways you can add allocations in the Forecast calendar.
Creating a Basic Allocation
To create a new allocation:
- Navigate to Forecast in the sidebar
- Find the team member you want to allocate
- Click on the day cell where you want to add the allocation
- A dialog appears with allocation options
- Fill in the details:
- Project - Select the project from the dropdown
- Hours - Enter hours per day (e.g., 4, 8)
- Date - Confirm or change the date
- Notes - Add optional notes or context
- Click Save
Quick Allocation
For a quick allocation, simply click on an empty day cell and the dialog will pre-fill with that date. Just select the project and hours.
Creating Multi-Day Allocations
Allocating a team member for multiple consecutive days at once:
- Click on the starting day cell
- In the allocation dialog, set the End Date to extend the allocation
- The allocation will be applied to all days in the range
- Click Save
Drag to Create Range
Alternatively, you can drag to select multiple days:
- Click and hold on the starting day
- Drag across to the end day
- Release to open the allocation dialog
- The date range will be pre-filled
Setting Allocation Hours
When creating an allocation, you specify how many hours per day:

| 8 hours | Full-time dedication to a project |
| 4 hours | Half-day split between projects |
| 2 hours | Part-time support or meetings |
| Custom | Any specific hour amount needed |
Capacity Check
If you allocate more than a team member's daily capacity (typically 8 hours), the day will show as over-allocated with a visual warning.
Multiple Projects Same Day
A team member can be allocated to multiple projects on the same day:
- Create the first allocation (e.g., 4 hours on Project A)
- Click on the same day again
- Create a second allocation (e.g., 4 hours on Project B)
- Both allocations will appear stacked on that day
Creating Weekly Patterns
For recurring allocations across a week:
- Select the date range covering the week (Monday to Friday)
- Set the project and hours
- Save the allocation
- The same allocation applies to all selected workdays
Allocation Details
Each allocation can include:
- Project (required) - The project being worked on
- Hours per day (required) - Time allocated daily
- Start date (required) - When allocation begins
- End date (optional) - When allocation ends (same day if not set)
- Notes (optional) - Additional context or instructions
Best Practices
- Plan weekly - Allocate team members at the start of each week
- Leave buffer - Don't allocate 100% capacity to account for meetings and interruptions
- Use notes - Add context for specific tasks or deliverables
- Check capacity - Review the capacity indicators before saving
- Communicate - Let team members know their allocations
