Billing Rates
Set up hourly and project rates
Overview
Billing rates determine how tracked time is converted to billable amounts. SimplyManage supports flexible rate configurations at multiple levels.
Rate Hierarchy
Rates are applied with the following priority (most specific wins):
- Task Rate - Rate set on a specific task
- Member-Project Rate - Rate for specific member on a project
- Project Rate - Default rate for the project
- Client Rate - Default rate for the client
- Organization Rate - Global default rate

If no specific rate is set, the system falls back to the next level in the hierarchy until a rate is found.
Organization Default Rate
Set a fallback rate for your entire organization:
- Go to Organization settings
- Navigate to Billing section
- Enter the default hourly rate
- Click Save
Client Rates
Set a default rate for all work with a specific client:
- Navigate to Clients
- Click on the client
- Go to Billing tab
- Enter the default hourly rate
- Click Save
Project Rates
Set a specific rate for a project:
- Open the project settings
- Navigate to the Budget or Billing section
- Enter the project billing rate
- Click Save
Fixed-Price Projects
For fixed-price projects, you can still set an internal rate for cost analysis, even though billing is not based on hours.
Team Member Rates
Set different rates for team members on a project:
- Open the project settings
- Go to the Team tab
- Click on a team member
- Set their custom rate for this project
- Click Save
This is useful when:
- Senior and junior team members have different rates
- Different roles (developer vs. designer) bill differently
- Specific negotiated rates for certain team members
Cost vs. Billing Rates
SimplyManage supports both:

Cost rates are typically set based on employee salary/hourly cost and are used for internal profitability analysis.
Currency Settings
Configure your organization's currency in Organization settings. All rates and reports will use this currency.
Handling Rate Changes
When rates change:
- Existing entries - Keep their original rate (locked in)
- New entries - Use the new rate
- Reports - Show actual billed amounts based on entry rates
Warning
Rate changes are not retroactive. To rebill past work at a new rate, you would need to manually adjust entries or create credit memos.
