Managing Tasks

Organize work with tasks and subtasks

Overview

Tasks help break down project work into manageable pieces. They provide granular tracking of where time is spent and improve reporting accuracy.

Task Structure

Each task includes:

  • Name - Descriptive task title
  • Description - Detailed scope and requirements
  • Estimated Hours - Expected time to complete
  • Assignee - Team member responsible
  • Status - Not started, In progress, Completed
  • Due Date - When the task should be finished

Creating Tasks

To create a new task:

  1. Navigate to Tasks in the sidebar, or open a project
  2. Click Create Task
  3. Select the project
  4. Enter the task name and description
  5. Set estimated hours (optional)
  6. Assign to a team member (optional)
  7. Click Create Task

Task Naming

Use clear, action-oriented task names like "Implement user login" or "Design homepage mockups" for better tracking and reporting.

Task Statuses

Tasks progress through statuses:

Not StartedTask created but work hasn't begun
In ProgressWork is actively being done
On HoldTemporarily paused
CompletedWork is finished

Tracking Time to Tasks

When tracking time, you can associate entries with tasks:

  1. Start the timer or create a manual entry
  2. Select the project
  3. Choose the specific task from the dropdown
  4. Time is now tracked against both project and task

Task Views

SimplyManage offers multiple ways to view tasks:

List View

Traditional list with sorting and filtering options. Best for quick overview and bulk actions.

Board View

Kanban-style board with columns for each status. Drag and drop to change task status.

My Tasks

Filtered view showing only tasks assigned to you across all projects.

Time Tracking from Tasks

Start tracking time directly from a task:

  1. Find the task in the task list
  2. Click the play button next to the task
  3. Timer starts with project and task pre-selected

This is the fastest way to start tracking with proper task association.

Editing Tasks

To modify a task:

  1. Click on the task name to open details
  2. Make your changes
  3. Click Save

Working with Estimates

Task estimates help with planning and tracking progress:

  • Set estimated hours when creating the task
  • View actual vs. estimated time in task details
  • Over-budget tasks are highlighted
  • Estimates feed into project budgeting

Deleting Tasks

To delete a task:

  1. Open the task details
  2. Click Delete Task
  3. Confirm the deletion

Warning

Deleting a task removes it from all reports. Time entries linked to the task remain but lose the task association.
