Configure your organization

Overview

Organization settings configure your SimplyManage workspace at the highest level. These settings affect all users and establish defaults for projects, time tracking, and billing.

Accessing Organization Settings

  1. Navigate to Organization in the sidebar
  2. View and edit various setting categories

Warning

Only Admin users can access and modify organization settings.

General Settings

Organization Information

  • Organization Name - Your company or team name
  • Logo - Displayed in navigation and reports
  • Address - Business address for invoices
  • Contact Email - Primary contact for your organization

Regional Settings

  • Timezone - Default timezone for the organization
  • Date Format - MM/DD/YYYY or DD/MM/YYYY
  • Time Format - 12-hour or 24-hour
  • Week Start - Sunday or Monday

Work Settings

Work Hours

Define your organization's standard work schedule:

  • Daily Hours - Standard hours per day (e.g., 8 hours)
  • Weekly Hours - Standard hours per week (e.g., 40 hours)
  • Work Days - Which days count as work days

These settings are used for:

  • Calculating utilization percentages
  • Timesheet requirements
  • Capacity planning
  • Forecasting

Time Tracking Defaults

  • Minimum Entry Duration - Smallest allowed entry (e.g., 15 min)
  • Maximum Entry Duration - Longest single entry allowed
  • Time Rounding - Round entries to nearest interval
  • Require Description - Make descriptions mandatory
  • Require Project - All entries must have a project

Time Rounding

Rounding to 15-minute intervals simplifies billing and timesheet review while maintaining reasonable accuracy.

Billing Settings

Currency

  • Default Currency - Used for all billing and reports
  • Currency Display - Symbol position and decimals

Default Rates

  • Default Billing Rate - Fallback rate for projects
  • Default Cost Rate - Internal cost calculation

Timesheet Settings

  • Timesheet Period - Weekly (most common) or bi-weekly
  • Submission Deadline - When timesheets are due
  • Approval Required - Enable/disable approval workflow
  • Lock Approved Entries - Prevent editing approved time

Notification Settings

Configure organization-wide notification defaults:

  • Timesheet Reminders - Remind users to submit
  • Budget Alerts - Notify on budget thresholds
  • Timer Reminders - Alert on long-running timers

Integration Settings

Configure organization-wide integrations:

  • Jira Cloud - Connect organization to Jira
  • GitLab - Connect to GitLab instance
  • SSO/SAML - Enterprise authentication (if available)

Data & Privacy

  • Data Retention - How long to keep historical data
  • Export Data - Download all organization data
  • Delete Organization - Permanently remove all data

Deleting Organization

Deleting your organization permanently removes all data including users, projects, time entries, and reports. This cannot be undone.
